Cancellation and Late Arrival Policies

Cancellation Policies

To keep our prices affordable, we have a strict cancellation policy.

We require 24 hours’ notice for any cancellations.

Patients who provide less than 24 hours’ notice will be charged a $25 FEE for returning patient community treatments, a $50 FEE for new patient community treatments, and a $60 FEE for private treatments.

Patients who do not come to a scheduled appointment (no-show) will be charged a $35 FEE for returning patient community treatments, a $50 FEE for new patient community treatments, and a $70 FEE for private treatments.

Late Arrival Policy: Community Treatments

We schedule appointments every 10 minutes in our community clinic.

Your appointment with your acupuncturist is 10 minutes (for returning patients) and 20 minutes (for new patients). Although your treatment time is up to an hour (you may rest in your chair with the needles for up to 1 hour), your actual appointment time as a returning patient is 10 minutes and as a new patient is 20 minutes.

You are expected to be in your chair and ready for needles at your appointment time. Please arrive with ample time to use the bathroom, check in with the receptionist, and hang your coat BEFORE your appointment time.

If you are 1 or 2 minutes late, you can still receive a treatment but your acupuncturist will only have time to insert a few needles (you will not get a full treatment).

If you arrive 4 or more minutes late, there will not be enough time to insert your needles. You will be asked to wait until the next opening during that shift (if available).

If you are late and we are unable to fit you in, or you are unable to wait until we can fit you in during that shift, we will consider it a missed appointment and will assess the $25 fee for returning patients and $50 for new patients.

If you are a new patient and you do not have your intake forms completed prior to your appointment time, we will consider it a late arrival and will assess the $50 fee.

 

Late Arrival Policy: Private Treatments

Your appointment with your acupuncturist is 50 minutes.  We will do our best to accommodate you if you arrive late, but we will first treat those who arrived on time. If you are late and we are unable to fit you in, we will consider it a missed appointment and will assess a $60 fee.

 

New Patient Deposit: Community Treatments

New patients are charged a $25 deposit at the time of booking a community acupuncture treatment.

The deposit will be applied to the $50 new patient treatment fee at the time of your first visit.  If you need to cancel or reschedule your first treatment, please remember that we have a 24 hour cancellation policy.  If you are unable to give us 24 hours’ notice, the deposit will be applied to the late cancellation fee.

If you arrive late and we are unable to fit you in, the deposit will be applied to the late arrival fee.  If you no-show, the deposit will be applied to the no-show fee.

If you need to cancel your first treatment and are unable to reschedule, we will refund your deposit (as long as you have provided 24 hours’ notice).  Please call us at (860) 683-0011 and we will refund your deposit immediately.

New Patient Deposit: Private Treatments

New patients are charged a $25 deposit at the time of booking a private acupuncture treatment.

The deposit will be applied to the $100 new patient treatment fee at the time of your first visit.  If you need to cancel or reschedule your first treatment, please remember that we have a 24 hour cancellation policy.  If you are unable to give us 24 hours’ notice, the deposit will be applied to the late cancellation fee.

If you arrive late and we are unable to fit you in, the deposit will be applied to the late arrival fee.  If you no-show, the deposit will be applied to the no-show fee.

If you need to cancel your first treatment and are unable to reschedule, we will refund your deposit (as long as you have provided 24 hours’ notice).  Please call us at (860) 683-0011 and we will refund your deposit immediately.

Other Policies

• All patients and staff must wear a mask while in the clinic.

• To keep everyone safe, we are unable to treat you if you are sick or if you have been sick in the past 24 hours. 

• Please use the online schedule or call (860) 683-0011 or to make/change/cancel an appointment. We cannot process appointment changes or cancellations via email.

• If you need to cancel with less than 24 hours’ notice, please call (860) 683-0011 and leave a message.  The online schedule will not allow you to make a cancellation with less than 24 hours’ notice.

• The credit/debit card you have on file will automatically charged late cancellation, missed appointment, and no-show fees.

• Patients who consistently “hoard” appointments (book multiple appointments in a week without coming to all of the appointments booked) will have their services with Many Rivers terminated.  Appointment hoarding prevents our services from being accessible to as many people as possible, and is against the principles of community acupuncture.
